General Rules & Regulations Policy

Baseline code of conduct required of all non-GridSite personnel while present at GridColo facilities.

Version 1.0
September 5, 2025
Purpose and Objectives

The General Rules & Regulations Policy sets out the baseline code of conduct required of all non-GridSite personnel while present at GridColo facilities. The intent of this policy is to create a safe, professional, and orderly environment for all parties by prohibiting disruptive, hazardous, or inappropriate behavior and by mandating standards of cleanliness and respect. Unlike technical or safety-specific policies, this document provides universal "house rules" that apply equally to customers, vendors, contractors, visitors, and guests.

Applicability

This policy applies to all persons who enter a GridColo facility, regardless of role or duration of stay. It applies across all Security Levels (1–4) and covers all areas, including lobbies, corridors, staging and dock areas, data halls, cages and cabinets, mechanical and electrical rooms, roofs, exterior plant areas, and parking lots.

Policy Statement

GridColo facilities are professional environments where the behavior of one party can directly impact the safety, security, and operational stability of all others. Every individual onsite is expected to comply with this policy at all times. GridColo staff are empowered to enforce these rules, intervene in unsafe or disruptive conduct, and remove individuals who fail to comply. Continued access is conditioned upon adherence to these regulations.

Identification and Credentials

All individuals must wear their GridColo-issued credential visibly above the waist, front-facing, and unobstructed at all times. Credentials must match the person wearing them; loaning or sharing credentials is prohibited. Government-issued photo identification must be presented upon request. Visitors must be escorted at all times.

Smoking, Vaping, and Prohibited Substances

Smoking and vaping are prohibited inside all GridColo facilities, including data halls, mechanical/electrical rooms, docks, corridors, and lobbies. Smoking is only permitted in designated exterior areas. Alcohol and illegal drugs are strictly prohibited. Persons under the influence of alcohol, illegal drugs, or impairing substances will be denied entry or removed immediately.

Photography and Recording

Photography, video recording, or audio recording inside GridColo facilities is prohibited without prior written authorization from GridColo Operations. Even with authorization, recording may only occur within a customer's own allocation and must avoid capturing other tenants' equipment, facility infrastructure, or security devices. Personal use photography, such as "selfies," is not permitted.

Prohibited and Controlled Items

Weapons of any kind (firearms, knives, explosives, chemical sprays, stun devices), fireworks, drones, hazardous chemicals, unauthorized wireless equipment (rogue access points, Wi-Fi hotspots, Bluetooth beacons), consumer-grade power strips, rack-level UPS devices, and combustible materials (cardboard, wood, foam, shrink-wrap) are prohibited in operational areas. Tools, ladders, or test gear must be necessary for the approved task and in good condition. Items not in use must be removed promptly.

Noise Control and Professional Conduct

Operational areas require a controlled noise floor. Loud conversations, shouting, music, portable speakers, and ringing mobile phones are not permitted in data halls or shared corridors. Personal headphones that block situational awareness are prohibited. Conversations should be professional, respectful, and at a low volume. Running, horseplay, and disruptive conduct are not allowed.

Cleanliness and Housekeeping

Customers and vendors must keep their work areas clean and free of debris. Packaging materials, cardboard, wood, and foam must be removed in staging areas and are not allowed in data halls. Food and drink are prohibited in all critical areas. Aisles, egress routes, and shared pathways must be kept clear at all times. Tools and spare parts must be stored neatly and removed when work is complete. Waste must be disposed of in approved containers; hazardous waste requires prior approval and removal in compliance with the Environmental & Hazardous Materials Policy.

Respect for Facility Infrastructure

Customers, vendors, and visitors must not tamper with or obstruct facility systems, including fire suppression, air handlers, sensors, cameras, alarms, interlocked doors, and access control devices. Egress doors must never be propped open. Power panels, busways, UPS systems, generators, and mechanical systems may not be accessed, modified, or serviced by customers without explicit authorization from GridColo.

Respect for Other Customers

All individuals must remain within their authorized allocations and not attempt to view, touch, photograph, or otherwise interfere with neighboring customer equipment. Conversations about, or observations of, other tenants' systems must be avoided. Shared spaces are to be used respectfully and for their intended purposes only.

Personal Property and Storage

Personal belongings should be minimized. GridColo is not responsible for loss or theft of personal property. Long-term storage of equipment, spares, or crates outside of a customer's allocation is prohibited. Abandoned items may be removed or disposed of by GridColo at the sponsor's expense.

Visitors and Guests

Visitors must always be pre-registered, wear a visitor badge (Solid Yellow), and remain under direct escort. Visitors may not handle equipment or perform work. Escorts are responsible for their visitors' behavior and may lose escort privileges if visitors violate this policy.

Emergency Response Compliance

During alarms, drills, or instructions from GridColo staff, all individuals must comply immediately. Work must be stopped, and individuals must evacuate or shelter as directed. Ignoring emergency instructions is a serious violation of this policy.

Individuals

Responsible for following these rules, respecting others, and maintaining situational awareness.

Customers

Repeated or serious breaches may result in termination of colocation services or referral to law enforcement.

Effective Date and Amendments

This policy is effective upon publication and remains in force until replaced. GridColo may amend this policy at any time to reflect evolving industry best practices, regulatory requirements, or operational needs. Updates will be communicated through official notices and the customer portal.
